Surf The Wave Ambassadors

The UK Dance Showcase in May 2019 will be the highlight moment of Surf The Wave, drawing together artists, promoters and audiences to celebrate British dance. We aim to present 30 companies over the four days, performing or pitching dance work that is available to tour across the UK. Our vision is for an event that is inclusive and inspiring, that will shine a light on the spaces and places that can be animated by dance.

And this is where you can come in…

We would need your dedication of time during the live event on 16th – 19th May 2019. If you would like to apply for the artist liaison, promoter liaison or production assistant then you may be required to volunteer from 13th – 19th May 2019. Development of personal and professional skills is encouraged and vital during the process. We encourage all volunteers to make the most of the experience.

Why become a Surf The Wave Ambassador?

At PDSW we define volunteering as ‘donating your time and passion for culture, and in particular dance, to support and enhance the work we do at PDSW’. We understand that volunteers play an integral and key role in ensuring the success of any event and require a large group of volunteers for the UK Dance Showcase. We value the role that they play and would love for you to be part of the Surf The Wave team, make new friends and meet new people in the dance industry.

We are recruiting a vibrant team of volunteers to act as artist and promoter liaisons, stewards, runners and administrators to assist with set-up, operation, take-down and tidy up, both during and outside of Surf The Wave hours of operation.

Becoming an ambassador is an opportunity to gain hands on experience working as part of a events management team. Whilst there is no financial gain for volunteering your services, volunteers will be recognised through a letter of recommendation from the organiser when requested. Other benefits are that you will:

The current ambassador benefits we offer are:

  • We will contribute towards per diems / travel get to and from the event (Poole and Bournemouth).

  • You can enjoy one complimentary class/workshop here at PDSW (expires Monday 15th July 2019).

  • Receive a branded Surf The Wave t-shirt / hoodie and lanyard.

  • Ushers & Stewards can enjoy the performance/event they are working at for free.

  • Ongoing supervision and regular guidance will be provided.

  • Drinks and snacks will be provided per shift.

  • Gain valuable experience in the cultural sector for a great addition to your CV.

  • To develop new skills, gain knowledge and experience.

  • Increase self-confidence and improve your career prospects.

  • Make new friends and broaden your support network.

Who we need:

  • You will be over 18 years of age, friendly, well presented with good communications skills and a sense of humour.

  • Our Ambassadors are team players and reliable, are multi-taskers and willing to work flexibly within a high paced and exciting performance environment.

  • You will be joining a team of people who are enthusiastic and enjoy engaging with the public, and will work together to make this an incredible experience for our artists and guests at the Showcase.

Ambassador Training: 3rd - 8th May 2019

Production Preparation Day: 15th May 2019

Showcase: 16th – 19th May 2019

PLEASE NOTE: All volunteers will have an opportunity to meet with UK Dance Showcase organisers prior to the event and must be available for training and briefing in their roles, from Monday 3rd – 8th May 2019. Day & time TBC!

Please fill out the Google Form found here by 31st January 2019 to apply and let us know your availability? Those with availability throughout the whole showcase will have priority selection. We will be contacting applicants by 28th February 2019.

Roles and responsibilities

Event stewarding

  • Attend briefing prior to the event.

  • Working inside and outside directing guests around the city of Bournemouth and Poole to multiple venues.

  • Being able to give information to the guests and public about the event.

  • Be an all-round helping hand at one of our many information points.

  • Assist in directing our guests to the venues and shuttle bus pick up points.

  • Provide information about Surf The Wave and Pavilion Dance South West as a whole.

  • Potentially fundraising to support Pavilion Dance South West.

  • Understanding the location of: event control; exits; evacuation routes and assembly areas; firefighting equipment; first aid points; disabled viewing and access; car and coach parking locations; drop off and pick up points for car/coach/taxi/participants/equipment/public; lost and found property points; welfare services; emergency liaison points.

  • To help manage an even flow of people entering the venue/event.

  • Investigate any disturbances or incidents, and report to supervisors.

  • To provide a high standard of customer care.

  • Working in a team raising funds for Pavilion Dance South West.

  • Being an advocate for PDSW and Surf The Wave to sponsors, supporters, delegates and the public.

  • Helping promote the event by asking people to follow our social media channels and use our hashtag.

Volunteer supervisors

  • Team supervisor for a group of up to 10 volunteers.

  • Carry out morning briefings.

  • Online reporting after each day of the live event.

  • Dealing with any issues on the day.

  • Monitor, support, motivate and accredit volunteers and their work.

  • Offer advice and information to volunteers face-to-face and telephone where needed.

  • Attend STW meetings /briefing prior to the event.

  • Adhere to the PDSW fundraising protocol.

Box office and Front of House support

  • Attend briefing prior to the event.

  • Understanding the location of: disabled viewing and access; car and coach parking locations; drop off and pick up points for car/coach/taxi/participants/equipment/public; lost and found property points; welfare services; emergency liaison points.

  • Help at our front of house before the performances and seminars begin.

  • Direct people into the venue.

  • Check customer wristbands/lanyards/ tickets before entry.

  • Provide information about the performance/seminars (timings, artist information etc).

  • Provide a high standard of customer care.

Artists’ liaison

  • Attend briefing prior to the event.

  • Have key information to hand for artists you are supporting - travel schedules/arrival times, number of people with the group, names/rooming lists, any changes to info, etc.

  • Meet and greet artists/companies on arrival.

  • Understand travel arrangements and accommodation for the artists.

  • Provide information on the rehearsal and live event schedule.

  • Serve as on-site “keeper of knowledge” and go-to for troubleshooting and problem-solving related to artist logistics (with support of STW staff).

  • Complete an artist liaison evaluation report following the completion of the live event, and outlining what worked and what could be improved upon.

  • Carry out any other tasks as can be reasonably expected from this position.

Delegate / promoter liaison

  • Attend briefing prior to the event.

  • Make early contact with artists and request key information - travel schedules/arrival times, number of people with the group, names/rooming lists, any changes to info, etc.

  • Meet and greet promoters on arrival.

  • Provide information on the live event schedule.

  • Communicating travel arrangements to the promoters.

  • Serve as on-site “keeper of knowledge” and go-to for troubleshooting and problem-solving related to artist logistics (with support of STW staff).

  • Complete a promoter liaison evaluation report following the completion of the live event, and outlining what worked and what could be improved upon.

  • Carry out any other tasks as can be reasonably expected from this position.

Production assistant

  • Attend briefing prior to the event.

  • Undertake any health and safety training as required by the Production Manager.

  • Assist the STW production team in necessary tasks of setting up staging, AV and lighting at venues where needed.

  • May be asked to work late into the evenings to ensure the show goes on.

  • Runners

  • Pre and post clean up of the venues.

  • Set up of the information points and signage across Bournemouth and Poole venues.

  • Live streaming monitoring and support during the live event.

  • Help complete post performance reporting with the STW team.

Photographers & Videographers

  • Attend briefing prior to the event.

  • Understand and fulfil the brief.

  • Pre-event photos of rehearsals.

  • Pre-event and post event interviews.

  • Live event photos and videos of performances, networking and pitching sessions.

  • Editing of photos/videos captured before sending to the STW team.

NOTE: If you would like to participate with the showcase by volunteering to take photographs or video we are grateful and honoured for your interest to do so. Please send us a link to view your gallery and upon approval you will be recognised as an official Surf The Wave photographer or videographer and your name will listed in credits posted to our website.
